Privacy Policy

Effective date: 6 July 2026. FieldCard FSM is operated by Sweet Phoenix Creations. This policy explains how we collect, use, share, and protect information when businesses and their teams use FieldCard FSM on web, iOS, and Android.

Information we collect

Account and business details such as names, email addresses, phone numbers, company details, billing settings, users, roles, and permissions.

Customer and job information entered by users, including contacts, quotes, invoices, job cards, inventory, assets, notes, signatures, photos, and uploaded files.

Field app information needed to run mobile workflows, including device details, push notification tokens, camera uploads, location data when enabled, and technician activity records.

Payment and communication records such as payment status, gateway references, message delivery status, email logs, and support requests. We do not store full card numbers.

Technical information such as browser type, device type, IP address, diagnostics, error logs, and usage events needed to keep the service secure and reliable.

How we use information

To provide the FieldCard FSM service, including quotes, invoices, job cards, scheduling, inventory, field technician workflows, customer portals, payments, reporting, and notifications.

To authenticate users, protect accounts, prevent fraud, troubleshoot issues, improve performance, and provide support.

To send service messages such as login emails, quote and invoice emails, push notifications, job updates, payment confirmations, and support replies.

To meet legal, tax, accounting, security, and operational requirements.

Sharing and processors

We do not sell personal information. We share information only as needed to operate the service, comply with law, protect rights, or complete actions requested by users.

We use trusted service providers for hosting, databases, authentication, file storage, email, push notifications, payment processing, analytics, and support tooling.

When a business connects its own payment, email, WhatsApp, SMS, or other integration provider, data needed for that integration may be sent to that provider under the business's configuration.

Camera, photos, files, and location

The mobile app may request camera and file permissions so users can capture job photos, inspection evidence, receipts, signatures, and proof of work.

Location may be used for job-site proof, technician workflows, navigation, attendance, and operational records when the user or device allows it.

Push notification permission is used to deliver job, account, and workflow notifications to registered devices.

Retention and deletion

Business data is kept while the account is active or as needed to provide the service, maintain records, resolve disputes, comply with legal obligations, and protect the platform.

Account owners can request export, correction, or deletion of account data, subject to legal, tax, backup, fraud-prevention, and operational requirements.

Security

We use administrative, technical, and operational safeguards designed to protect data, including authenticated access, tenant separation, encrypted connections, access controls, and monitoring.

No online service can guarantee absolute security. Users should protect passwords, restrict staff access, and remove access for people who no longer work for the business.

Children

FieldCard FSM is a business operations service and is not intended for children.

Changes

We may update this policy as the service changes. The latest version will be posted on this page.
